Cinema Rentals

Our three state-of-the-art cinemas are available for rental by the public, subject to availability around our public screenings. With three auditoriums, seating 231, 97, and 38 people respectively, together with a host of support and reception spaces, our Cinema is an ideal partner for private and corporate events, screenings, meetings, and fundraisers. Cinema rentals include projection services.  See below for details on rental spaces, and a button to submit a rental form.

We are also proud to offer any of our spaces to local schools, non-profits, governmental and other organizations at greatly reduced rates through our Community Access Program. CINEMA 1

With 231 seats, Dolby 7.1 + ATMOS Surround Sound, 4K Digital projection, and a dedicated, ultra-violet ionizing, non-recirculatory HVAC system, Cinema 1 offers an unparalleled screening environment built to the highest professional standards.

$2000/Hr – 2 hr minimum

CINEMA 1

CINEMA 2

Our second cinema is a flexible gem, specially tailored to the needs of the cinephile. With 97 seats; 35mm, 16mm, and 4K digital projection; Dolby 7.1 surround sound, and a dedicated, ultra-violet ionizing, non-recirculatory HVAC system, Cinema 2 is a natural choice for archival and smaller screenings.

$1000/Hr – 2 hr minimum 

CINEMA 3

Our intimate screening room is an ideal choice for smaller events, birthday parties, and corporate rentals.  With 40 reclining seats, laser DLP projection, Dolby 7.1 Surround Sound, and dedicated, ultra-violet ionizing, non-recirculatory HVAC systems, Cinema 3 puts an exceptional screening system within reach of any budget.

$500/Hr – 2 hr minimum 

CINEMA 3

Our intimate screening room is an ideal choice for smaller events, birthday parties, and corporate rentals.  With 38 reclining seats, laser DLP projection, Dolby 7.1 Surround Sound, and dedicated, ultra-violet ionizing, non-recirculatory HVAC systems, Cinema 3 puts an exceptional screening system within reach of any budget.

$500/Hr – 2 hr minimum 

ROSENBERG WORKSPACE

The Rosenberg Workspace is a flexible-use indoor space suitable for meetings, parties, and even catered sit-down dinners. Includes access to the adjoining Farkas Terrace. Use of an attached catering kitchen can be arranged. Capacity: 60 people.

$500Hr – 2 hr minimum 

FARKAS TERRACE

An outdoor deck hidden above Main St, suitable for receptions and other events. Capacity: 32 – 68 people.

THE MOVIE VAN

Our  outdoor cinema-on-wheels: The Movie Van features a 16’x9′ inflatable screen, surround sound loudspeakers, and high quality projection perfect for private outdoor screenings big and small.

The Fine Print

Theater Rental Policies:

1. AVAILABILITY: Scheduling for any private rentals is subject to the availability of our different venues. Our three theaters are generally reserved for public screenings Mon-Thur 2:30pm-9pm, Fri 2:30pm-12am, Sat 12pm-12am, and Sun 12pm-9pm. 

2. DEPOSITS: A deposit of 50% of the total rental cost is required to bind the terms of this agreement. Deposits must be provided upon the signing of this contract. 

  • 50% of the deposit will be refunded provided cancellation is made 14 calendar days prior to the contracted use date. 25% of the deposit will be refunded if cancellation is made less than 14 days, but more than 7 days prior to the event. For cancellations made less than 7 days prior to the event, the renter will forfeit the deposit. 
  • Deposits may be made by cash or check, payable to “Sag Harbor Cinema.” Deposits made by credit card incur a 3% fee.

3. DELIVERABLES: All projected media is deliverable from the Renter to the Cinema not less than three calendar days prior to event, unless by explicit negotiation. 

  • The Cinema reserves the right to reject any media for any reason, technical or otherwise. 
  • The Cinema bears no responsibility for any unlicensed copying of any media associated with rentals. 
  • If the customer wishes to have a customized slide (i.e. Happy Birthday John Doe!) posted on screen prior to a private screening, s/he must provide text by emailing it to info@sagharborcinema.org no less than three calendar days prior to the event. 
  • A guest list must be provided by email to gailbruesewitz@sagharborcinema.org three days prior to privates events to ensure seamless entry for your guests. 

3. CLEANING: All rented premises are to be returned in the condition they were presented.

  • A cleaning fee of $150 per space is applied to non-theater rentals.
  • Any cleaning service contracted by the Renter must be pre-approved by the Cinema. 
  • All renters should deposit trash in the receptacles provided in the rental space . 

4. SOCIAL MEDIA: All rentals must affirm that they will refrain from posting images on social media, unless by specific exception agreed in advance in discussion with the Cinema’s Directors. 

5. CATERING: All catering at the cinema must be arranged through Oishi Management Services LLC, and provided by licensed caterers, with valid Suffolk County Food DHS permits.

  • All caterers must be pre-approved by the Cinema’s directors.
  • The Cinema reserves the right to refuse any caterer for any reason.
  • No catered food is allowed in the cinemas whatsoever.
  • All catering costs are to be figured separately from this rental agreement.

6. DECORATIONS: If decorations or extra furniture rentals are requested for catered events, please provide a description:

  • Decorations/flowers must be approved by Oishi Management Services LLC and the Cinema.
  • No decorations may be placed on the stairs, near doorways, or anywhere that could present a fire hazard. 
  • Decorations are not permitted on the walls unless by special arrangement with management. 
  • Decoration setup and teardown will be billed on an hourly basis in addition to the 2-hour minimum space rental.

7. ALCOHOL: 

  • No outside alcohol may be consumed on the premises whatsoever.
  • All alcohol consumed on premises must be purchased from the Cinema.
  • Evidence of consumption of outside alcohol is grounds for immediate cancellation of any event. 

8. INSURANCE: Renter shall maintain General Liability insurance for his / her own organization or person. 

  • Renter shall name Sag Harbor Cinema and its affiliates as named additional insured on all active liability policies.
  • Renter shall furnish evidence of a General Liability policy naming the person / organization renting the cinema, showing a minimum $1M per-occurrence coverage, not less than 24 hours in advance of the proposed event. 

9. TICKET TAKING AND PUBLIC EVENT: Rentals are considered private events, and in no case may tickets be sold through the cinema to the general public for any rental event, unless explicitly approved by the Cinema’s Directors. Rentals may not advertise a ticket price anywhere on any cinema publicity or promotional materials. 

10. FIRE, SAFETY, AND HEALTH PROCEDURES: Renters agree to follow all applicable local fire, safety and health procedures, INCLUDING COVID-19 PROTOCOLS, which includes providing proof of vaccination for anyone over age 12 upon entry. Currently masks are required at all times when food/beverage is not being consumed.
